Terms of Use
Updated 22 September 2026 · Pilot service
Draft for the pilot. Abroadocs is not open to the public. The operating company’s name, address and country are placeholders until the company exists.
About these terms
These terms are between Dmitry, [Postal address — placeholder], [Country — placeholder] ("we") and the organisation that uses Abroadocs ("you"). By creating an account or using Abroadocs for your organisation, you confirm you may accept them on its behalf.
Abroadocs is for businesses and professionals arranging documents for their organisation, its staff or its clients. It is a pilot, open by invitation and behind a passphrase, and it is free to use.
Your account
Keep your sign-in details and the pilot passphrase to yourself and the people your organisation authorises. You are responsible for what is done through your organisation's account, and for telling us promptly if you think someone else has used it.
What Abroadocs provides
Abroadocs is a pilot for finding providers for document-related work. You describe a need, review and confirm the services you want us to search for, and see named providers with contact details published on pages we checked.
A screening result means we found public evidence for the stated checks at the time shown. It is not a guarantee of availability, suitability, price, turnaround, accreditation, or acceptance by any authority.
Your decisions and provider contact
Suggested services are possibilities for you to edit. You and your advisors decide what services are needed. You can copy a draft quote request or open it in your own email app. You decide whether to send it and whether to contract with a provider.
Abroadocs does not contact providers, send quote requests, place orders, make payments, file documents, or take custody of originals. Recording a provider choice in Abroadocs is for your own request record and does not contact that provider. Any agreement for the work is between you and the provider.
Lawful use only
Use Abroadocs only for genuine documents and lawful services. Abroadocs refuses a request to make, alter or misuse a document, or to deceive an authority, and does not search for providers for it. The Abroadocs team may review such a request, and we may suspend or close an account used that way. A minimal record of the refusal is kept, as the Privacy Notice describes.
Abroadocs does not currently serve requests involving Russia, Belarus, China, Iran, Hong Kong, North Korea, Syria, Cuba, Macao, Crimea, Sevastopol, Donetsk, Luhansk. Such a request is declined without a search. This is a limit on where Abroadocs works today, not a judgement about you.
Do not try to get round Abroadocs's security or its checks, to read other clients' data, to copy the service or its catalogue in bulk, or to make its AI act against these terms.
Your content and other people's data
Send only what the work needs. When a request includes someone else's document or details — an employee's certificate, a client's diploma — you confirm that your organisation may share it for this purpose and has told that person, as data protection law requires.
You keep all rights in what you send. You allow us to use it only to provide Abroadocs to you, as these terms and the Privacy Notice describe.
Data processing for your organisation
When your requests contain personal data of other people, your organisation is its controller and we process it on your behalf as your processor. This section is the data processing agreement between us under Article 28 of the GDPR.
What, why and for how long: names, dates, document numbers, nationality, education, civil-status and similar details that your messages and documents contain, about your staff, your clients and the other people whose documents you arrange. We process them only to find and screen providers for the work you describe, for as long as the request exists: 30 days after its last activity, or sooner if you ask.
Your instructions: we process this data only on your documented instructions — your use of Abroadocs and these terms are those instructions — unless the law requires otherwise, and we tell you if we think an instruction breaks data protection law.
Confidentiality and security: only the few people who need access can see requests, and they are bound to confidentiality. We keep the security measures described in the Privacy Notice: encrypted connections, clients separated by the database itself, private file storage in the EU, virus-scanning of every upload in an isolated service, and a record of every change.
Our processors: you authorise the services listed in the Privacy Notice. Each works under a written agreement with data protection terms no weaker than these. We tell you 30 days before adding or replacing one; if you object and we cannot resolve it, you may stop using Abroadocs and have your data deleted. Transfers outside the EU are covered by the EU Standard Contractual Clauses, as the Privacy Notice describes.
Helping you: we help you answer people who exercise their rights, and with your own security, impact-assessment and consultation duties, as far as our part of the processing allows.
Breaches: we tell you without undue delay, and within 48 hours of becoming aware, of a personal data breach affecting your data, with the information we have.
At the end: every request is deleted 30 days after its last activity, including its files. When you stop using Abroadocs we delete the rest of your data unless the law requires us to keep it; ask first if you want a copy.
Checks: we give you the information needed to show we meet these terms, and allow reasonable audits on notice.
Where Abroadocs looks
Abroadocs finds providers on public web pages — providers' own websites, public directories, and official registers and lists — and, where it can, tells you what kind of source each one came from. It reads only what anyone can read without an account, and does not get round a log-in, a block or a CAPTCHA.
General information
Abroadocs may offer general information and warnings. It is not legal advice and does not determine a legal requirement or an authority's decision. Check requirements with the receiving authority or a qualified advisor before committing to work.
Data and pilot availability
The pilot may return fewer than three providers, or none, when public pages do not meet our screening checks. Published information may change after screening.
Every request is deleted 30 days after its last activity, and a request you close is deleted 30 days after you close it. The Privacy Notice describes what is deleted and what is kept.
As a pilot, Abroadocs may change, pause or stop. We may suspend an account that breaks these terms. You can stop using Abroadocs at any time and ask us to close your account.
Responsibility
Abroadocs is provided as it is, while we test it. We are not responsible for a provider's work, availability, prices or conduct, or for an authority's decision. To the extent the law allows, we are not liable for indirect or consequential loss. Nothing in these terms limits liability that the law does not allow to be limited.
Law, changes and contact
These terms are governed by the law of [Country — placeholder], and its courts decide any dispute, unless the law where you are established gives you a right to go to its courts.
We may update these terms; we change the date at the top and tell you before a change that affects you takes effect.

See the Privacy Notice for data handling and the services that process data for us.
