Quote requests

What the provider sees

A quote request from a named person at our address, describing the job — never who you are.

Updated 17 October 2026

When we write for you, the provider receives an ordinary email from a named person at our own address. It says:

  • who we are: a small procurement service that finds and briefs document providers for companies, with a link to our site;
  • where we found their address — on their own website, on the page named;
  • what a client of ours needs: the document and how many, where it was issued and where it will be used, the languages, the service, the other steps on the same document, the deadline and delivery if you gave them;
  • three questions: their price (and whether VAT is included and whether it is per page, per document or in total), their turnaround, and what they need to start;
  • that we will pass the reply to our client, who decides, and that the client's name is shared once they choose a provider;
  • a footer naming the person and address behind the pilot, how to say no ("no further emails"), that messages are prepared with software and reviewed by a person, and where our privacy notice is.

For an account set up during the pilot to ask for indicative prices, the email says so instead: that we are gathering usual prices for cases of this kind, that it is not an order, with no deadline and no "client of ours" — and the sentence you agree to says the same.

It never says who you are: not your name, your organisation, your email, your industry where that would identify you, your file names or the names on your documents. An automated check refuses any draft that would, before it is stored and again before it is sent.

The reply comes to a private address of ours, not to you. Once replies are shown on your request page, you will see each one with the provider's own words beside every price and turnaround. If you then choose a provider, you can ask us to introduce you — only then is your name shared, and only with that provider.
